Outlook: Automatically Replace Text with Hyperlink or Phrase
You add or edit AutoCorrect/AutoComplete text by following the below instructions.
1. Open a new message and type the phrase you want to have Outlook replace text with
2. Select your word or phrase, right click it and select Insert Hyperlink
3. Type or past the web page URL into the Address field.
4. Click OK
5. Re-select your word or phrase and go to File > Options
6. Go to Mail > Spelling and Autocorrect
7. Click on AutoCorrect Options button
8. Make Sure that "Replace text as you type" is enabled
9. Under Replace, type the word or phrase that you want to have Outlook replace with
10. Make sure that "Formatted text" is enabled
11. Click the Add button
12. Click OK
13. close the remaining options windows until you are back to your new message.
14. Test the new AutoCorrect rule by typing your word or phrase, it should change into the text you wanted and/or hyperlink automatically created.
Export and Sharing:
You can export your AutoCorrect settings by following the below: (make sure Outlook is closed before performing the below)
1. Go to %AppData%/Microsoft/Templates
2. Copy the NormalEmail.dotm file and paste it to file share or attach it to an email message
You can import somebody elses AutoCorrect settings by overriding your existing NormalEmail.dotm file.
1. Go to %AppData%/Microsoft/Templates
2. Create a copy of the existing NormalEmail.dotm file, and name it oldNormalEmail.dotm
3. Paste the NormalEmail.dotm you received from somebody else into the Templates folder and overwrite the existing file.
